Executive Assistant

Daily Responsibilities 

  • Provides support for LA executive leadership team including calendar management and scheduling assistance. 
  • Arranges all elements of domestic and international travel from start to finish including booking flights, car service, visas,and  accommodation.
  • Processes and submits all business related expenses, invoices and paperwork for the leadership team.
  • Maintains strong relationships across the organization and handles confidential information with discretion.
  • Coordinates client and company-wide meetings and events including securing a location, arranging catering,managing event budgets, distributing invitations, etc. - including arranging events with local businesses and industry partners 
  • Works alongside HR to strategize and execute initiatives that enhance overall office culture.
  • Liaise with Executive Assistants in other offices/locations on projects and tasks. 
  • Provide excellent customer service to employees, clients, vendors and guests when visiting the office. 
  • Manage reception traffic and incoming calls, along with guest and visitor registration process. 
  • Maintain reception area tidiness and presentation. 
  • Ensure all conference rooms and communal areas  are arranged and prepared for business day. 
  • Receive incoming package deliveries and mail, and coordinate outgoing shipping and messenger services

The ideal person

  • Has extensive administrative experience working with executive level management
  • Exercises good judgment, tact, and patience 
  • Has excellent planning and organizational skills, and a strong attention to detail
  • Is comfortable working in a high pressure environment and multitasking 
  • Has outstanding written and oral communication skills
  • Has a customer centric mentality and experience interacting with clients
  • Brings a working knowledge of collaborative platforms and applications such as Zoom, Outlook, Google Suite, Slack, and Concur 
  • Is committed to growing long term in an operations role 
  • 3-5 years experience in a similar role
