Office Manager

Daily Responsibilities 

  • Work directly with Managing Director and Head of Production to manage all aspects of internal office operations of R/GA Los Angeles and be the point person for anything office experience related
  • Ensure smooth new hire onboarding, including managing initial desk, equipment, and access card setup as well as employee orientation
  • Oversee the concierge experience in greeting clients, vendors, candidates, and facilities team.
  • Provide backup support to our Travel Manager to ensure flawless travel experience for our employees (may provide coverage, late hours, weekends, etc)
  • Collaborate with facilities team for office maintenance and cleaning service, evaluate
  • Maintain relationship with all Vendors
  • Create POs, process all invoices, manage P-Card spending and reconcile P-Card purchases
  • Coordinate staff & client meetings; food orders, set-up and presentation needs
  • Manage all office supply inventory and restocking
  • Manage R/GA floor plan and coordinate all office moves with the Talent team
  • Maintain relationships with global facilities counterparts and management, and participate in regular group calls and initiatives
  • Inspect office’s structures to determine the need for repairs or renovations
  • Manage the upkeep of equipment and supplies to meet health or renovations standards
  • Main Point of contact for all Security calls
  • Allocate and manage office space for maximum efficiency
  • Partner with our NY office culture committee, plan and carry out office experience events
  • Keep journey screens up to date with relevant content and designs 
  • Weekly On-Deck emails

  • Is proactive, detail-oriented and professional
  • Has experience with office-related construction and moves
  • Is comfortable interacting with property managers and vendors
  • Has strong interpersonal and relationship building skills

 

You bring

 

  •  5+ years prior administrative or customer service experience, preferably at the high paced environment
  • 3+ prior management experience
  • Proficiency in Microsoft Outlook and the Microsoft Office suite
